Privacy Policy
Effective date: October 21, 2026
This policy explains what Dispatch (the "bot") stores, why, and for how long. The bot is run by Pixalon ("we", "us"). The short version: the bot keeps the IDs it needs to post alerts in your server and to keep them up to date, and nothing about what people say.
1. What the bot does not collect
- No message content. The bot does not read messages in your server. It uses only Discord's "guilds" intent, which gives it the list of servers, channels and roles; it has no access to what people write.
- No direct messages, and nothing from users' profiles beyond their Discord user ID in the cases below.
- No Patreon accounts. The bot has no Patreon login. It reads only what Patreon's website shows to a logged-out visitor.
2. What the bot stores
Server settings (chosen by a moderator with /setup and /patreon settings, or on the dashboard)
- the server's ID, the channel IDs the alerts go to, and the role IDs used for pings;
- the Patreon creators the server follows, with the server's choices for each: who gets pinged, filters, an extra line under the alerts, which extras are switched on;
- the Discord user ID of the moderator who added or changed a creator, and when;
- the IDs of the server events it creates for Lives.
Alert history (so nothing is announced twice, and so alerts can be updated)
- the Patreon posts it has seen: their ID, title, link, type and publication time, as shown publicly by Patreon;
- the IDs of the messages it posted for them, the channel and server they are in, and the discussion threads it opened;
- a post's public like and comment counts on Patreon, and the number of 🔥 👍 😐 reactions under its alert in each server (counts only — not who reacted).
Show lookups: the names, posters and episode lists of shows it looked up on AniList, TMDB, TVmaze and Wikipedia, so each show is only looked up once in a while; and which shows each followed creator's public post titles name (for each post, its ID, its date and the show; and each show's newest post's link), read from their public posts (the newest once a day, all of them once a week) and deleted when no server follows the creator any more.
Dispatch Wrapped and the awards (only in servers that switch Wrapped on)
- the server's favourite posts of the year: their ID, title, link and reaction counts;
- the awards ballot's votes: for each category, the Discord user ID of each member who voted and what they voted for. The votes stay secret and are deleted once the winners are revealed; after that only how many people voted is kept. Test votes on a /patreon test preview ballot are kept in memory only, never in a file, and are gone when the bot restarts.
Polls (/poll)
- each poll a moderator makes: the question, the shows on it, the channel and message it's in, the Discord user ID of the moderator who made it, and its votes: the Discord user ID of each member who voted and the letter they picked, so a vote can be changed or taken back. The card shows counts only, never who voted for what. A poll's votes are deleted a week after it closes, with the poll.
Pictures: thumbnails and posters are downloaded to be attached to the alerts and are kept in memory only briefly. The links to the pictures of the newest alerts (Patreon's links, as Patreon shows them to anyone) are kept in memory too, never in a file, so the dashboard can show them next to the alerts.
Status report: every few minutes the bot writes down how it's doing, for us: the servers it's in with their name, picture and member count (the number only, as Discord shows it to the bot), the names of their alert channels and any permissions the bot is missing there, and how the checks are going. It holds nothing about individual members. The same report is shown on a console page the bot serves to us alone, behind a key.
Hints: which of the bot's short tips (shown under a moderator's command replies) a server has already seen, so each is shown twice at most. Nothing about who saw them.
The website and its dashboard: a server's moderators can set the bot up on its website, after logging in with Discord. Discord then tells the site your user ID, username, display name and avatar, and which servers you're in with your permissions there (Discord's "identify" and "guilds" permissions); the site never sees your password, email address or messages. While you're logged in, the site keeps that, and the login token Discord gave it for you, in memory only (never in a file), until you log out, for 7 days at most; a restart of the bot logs everyone out. The site sets one cookie to keep you logged in, and a short-lived one while you log in. There are no tracking or advertising cookies. When you change a server's setup on the dashboard, the bot writes down your Discord user ID and display name, what you changed and when; that server's moderators can see it on the dashboard.
Slash commands are answered privately to the person who ran them and are not stored.
3. Why
Everything above is used for one purpose: posting the alerts a server asked for, and keeping them correct (updating a card with its likes, adding a button when the next episode is out, not posting the same thing twice). Nothing is used for advertising, profiling or analytics, and nothing is sold or shared with anyone.
4. Where it's kept, and who can see it
The data is stored in files on a server we control. Only we have access to it, and to the console page the bot serves from that same server. It is sent to no one else, except that the bot necessarily sends messages and requests to:
- Discord, to post and edit alerts, and to log you in to the dashboard (Discord's privacy policy);
- Patreon, to read creators' public pages (Patreon's privacy policy); the bot doesn't send Patreon anything about your server;
- AniList, TMDB, TVmaze and Wikipedia, to look up show and film artwork; only a show's or film's name is sent (and, for TMDB, the key the bot's operator got from TMDB).
5. How long
- Server settings are kept while the server follows at least one creator. They are deleted when a moderator removes the last creator (/patreon remove) or when the bot is removed from the server.
- Alert history is kept for the most recent posts of each creator (the oldest entries are dropped as new ones come in) and is deleted when no server follows that creator any more.
- Show lookups are refreshed from time to time and don't contain anything about your server.
- A poll is kept for a week after it closes, then deleted with its votes.
- A dashboard login lasts until you log out, for 7 days at most, and is kept in memory only. The list of changes made on the dashboard keeps the newest 500, for 90 days at most.
6. Your rights
A server's moderators can see and change everything the bot stores about their server with /patreon settings and /patreon status, or on the dashboard, and delete it by removing the bot. If you want something about you or your server deleted, or want to know what is stored, contact us (section 9) and we'll do it.
7. Children
The bot is for Discord users, who must be at least 13 (or older where the law requires). We don't knowingly store anything about younger children; if you think we have, contact us and it will be removed.
8. Changes
We may update this policy; the effective date at the top says when it last changed.
